Lead Operations Specialist

New Ground is a unique non-profit that has been helping Veterans and families for over 33 years by breaking the cycle of homelessness and poverty. As the Lead Operations Specialist, you will lead all office and property operations. You must be someone who can work independently with minimal oversight. As New Ground expands our services and housing in the coming years to serve even more struggling Veterans and families, there is also ample opportunity for your growth and development.

To succeed, you should have:

  • Associate or Bachelor's degree 
  • 3- 5 years of operation management or overall operations experience 
  • Familiarity with QuickBooks Online (QBO) software 
  • Solid communication and organizational skills, along with exceptional attention to detail
  • Driver's license and reliable transportation
  • Bilingual Spanish/English is a plus
  • Non-profit experience is a plus

New Ground is an approved qualifying employer under the Public Service Loan Forgiveness Program (PSLF). Employees in this position may qualify for student loan forgiveness under the PSLF program.

Your day-to-day responsibilities as the Lead Operations Specialist will include:

General

  • Interacts professionally, enthusiastically, and in a customer service-oriented manner with all donors, vendors, volunteers, guests, employees, and clients.
  • Works with the Executive Director to ensure organizational compliance with regulatory requirements or entities, provide timely reporting as necessary, and oversee renewals with NYS and others.
  • Reports directly to the Executive Director, assisting with paperwork and reports for grants, housing development projects, and more.

Financial

  • Working with the Accounting team, process bills and payments weekly, collaborate on monthly financial reports and distribute/review with key board members and Executive Director. 
  • Coordinate year-end audit activities, lead annual budget preparations, and liaise with auditors and finance committee.

Office/Property Management

  • Manage daily office operations and administrative functions.
  • Serve as primary contact for vendors and oversee office equipment maintenance.
  • Coordinate staff meetings, assist in organizing officeevents, and liaise with property management for office and residential locations.

Organizational

  • Schedule meetings for boards and committees, managing calendar reminders.
  • Process timesheets and assist with payroll submission.
  • Assist in updating and formulating organization policies with approval from the Executive Director.
  • Aid in hiring and orientation of new staff, serving as HR company liaison.
  • Attend board and committee meetings as necessary, including occasional early mornings and evenings.
